Home Owner Association Management

Our Home Owner Association Management team provides extensive management, bookkeeping and administrative responsibilities and duties to the Board of Directors, the association and the homeowners.  These services include:

FINANCES:                     Collection of Dues and Payments
                                     Deposits of Monies
                                     Bookkeeping
                                     Payment of HOA Bills
                                     Monthly Invoicing of Delinquent Accounts
                                     Prepare Annual Budget for HOA Board Review

CONTRACTED
SERVICES:                     Develop Bid Specifications for Board Review
                                     Coordinate Services per Agreements
                                     Oversee Sub-Contractor, including required forms: W-9, insurance certificates, etc.
                                     24 Hour On-Call Emergency Service
                                     Coordinate Pool Maintenance and Management (If applicable)

MEETINGS:                     Attend Board Meetings per Agreement
                                     Attend Annual Home Owners Meeting
                                     Interface with Board and Committees as Needed

MANAGE:                       Coordinate Architectural Review Requests
                                     Enforce Covenants
                                     Prepare and mail Violation Letters
                                     Lien and Foreclosure Filings

ADMINISTRATIVE:          Negotiate Master Insurance Policy
                                     Follow-up letters on all Work Requests
                                     Routine Property Inspections
                                     Distribute pertinent information to owners as agreed upon
                                     Provide printing of letters, envelopes and faxes
                                     Community Website Page with by-laws, covenants, contact information and 
                                     other documents


Attorney Closing Information - Association Home Owner Transfer

We will quote dues/assessments for a fee of $50.  We perform this calculation of dues/assessments on the seller's account at the time of closing.  Generally this expense is part of the buyer's obligation.

In preparing for the closing, print this form, fill in appropriately and fax it to our office, along with the fax number that you want us to fax back to you.  Our fax number is: 919-790-8360.

In addition, most of the communities require that we provide a New Home Owner Package for the buyers.  We will mail this package to the closing attorney’s office, along with an invoice.  The cost of this package depends on the neighborhood, number of documents and size.  We ask that your request give us at least 10 business days to make sure we have the package to you in time for the closing.  Fees for this service are charged to the buyers.  The package includes a Welcome Letter, contact information, copy of the dues/assessments, Bylaws, Covenants, Rules and Regulations, Forms, a current Budget, website information and the cost of preparing and mailing the package.
